SANSOM PLACE PUBLIC SPACE POLICY (PLEASE READ AND AGREE TO THE FOLLOWING)
Please understand the reservations are tentative due to impending renovations later this summer
***This is a general policy for all indoor and outdoor space. It is important to check on
the details for each individual space when making the reservation***
Michael Murray Lounge, 6th Floor Lounge, 14th Floor Lounge, Volleyball Courts, and the Grills
- These public spaces may be used for activities or group study.
- All users of residence hall public space are expected to abide by all Housing and
Conference rules and regulations as well as any applicable rules and regulations of the
University. Residents who reserve space will be responsible for their guests' behavior
and any damages, including clean-up and trash removal.
- Alcohol is not permitted in public spaces. Alcohol may not be distributed or sold.
- Reservations should be made at least one week before the event.
- Residents or groups they represent may reserve a space not more than twice a semester.
Reservations above and beyond the permitted two times per semester may be made only if the
space is still available five working days prior to the date requested.
- Activities sponsored by the staff may charge admission as long as profits are returned
to programming for the residents of the building. Any other activities in public spaces
are not permitted to charge admission, ask for donations, or collect any fees.
- Organizers are responsible to the reservation information. They key will only be
issued to the responsible individual. The person(s) responsible for the activity will
be expected to completely set-up and clean-up the reserved space. The residence staff
will not be able to provide manpower for any set-up or clean-up. If a public space is
not cleaned and left in proper order, the person in charge of the activity will be billed
for clean-up and may be denied any future use of public space. Clean-up must be completed
within the reservation time.
Indoor clean-up includes:
- Furniture must be returned to its original placement (use wall diagrams)
- All trash must be removed from the space and placed down the trash chutes in the
hallways. If items do not fit properly dispose of trash by the basement doors.
- All lights must be turned off.
- All windows, screens, and doors must be locked.
Outdoor clean-up includes:
- All trash should be removed from the space and placed in the trash recepticals located
on the plazas.
- All used grills must be cleaned and closed.
- All borrowed equipment must be returned in good working order.
- All persons using public space are asked to remember that these are University residence
halls and that students may be studying. Noise should be kept to a minimum. The responsible
party must lower music and/or noise levels at the request of the building staff.
- The reservation is only for the requested time. The responsible individual may not pick
up the key early, and/or sign out the designated space early. They are also responsible for
turning the key in at the time indicated. Space may only be used during operation hours.

- Person(s) in charge of activities open to non-university guests must ask those guests to
be accompanied by a student, faculty, or staff member. Organizers of the activity will be
responsible for arranging supervision for sign-ins for non-university guests. If requested,
organizers must provide a list of expected or invited non-university guests. All guests
will be expected to show proper identification. Desk staff have the authority to restrict
admittance.
- Groups are expected to uphold the space capacity limitations by the fire Marshall's Office.
Groups requesting space usage should check with the Graduate Programs of Sansom Place Office
concerning any special stipulation placed upon specific public and special purpose spaces.
- At any time during the activity, University Staff members may enter the space to insure the
policies are being implemented.
FAILURE TO ABIDE BY REQUIREMENTS MAY CAUSE THE ACTIVITY TO BE CANCELLED AND/OR ANY
FUTURE USE OF PUBLIC SPACE BY THE PERSON(S) OR ORGANIZATION TO BE PROHIBITED.
